JOB SUMMARY
Reporting to the Manager of Indoor Competitions and Special Events, the Events Coordinator supports the planning and execution of the OVA’s major indoor competitions and other OVA events. This role will also support other departments in the organization with planning and executing events where assistance is required to deliver safe, organized and positive event experiences.
This role is responsible for delivering successful events and building strong relationships with community partners, sponsors, volunteers and event staff. The Events Coordinator is a key member of the events team in fostering the continued support and growth of the OVA’s marquee events.
The role requires extended hours, evenings, weekends, and travel throughout Ontario during event-delivery periods.
Major Event Delivery
- Help coordinate the planning and delivery of the OVA’s annual major events portfolio, including:
- Three Convention Centre regular season tournaments
- Multiple Ontario Championships events
- The OVAtion Awards and Hall of Fame Banquet
- Other OVA programming
- Additional meetings, conferences, and special events as assigned
- Develop detailed event timelines, operational plans, production schedules, and logistical checklists.
- Coordinate venue requirements, floor plans, equipment, signage, furniture, and event infrastructure.
- Support venue contracting, vendor coordination, and on-site event management.
- Lead event setup, execution, and post-event wrap-up activities.
- Coordinate registration logistics, accreditation, scheduling, and participant services.
- Work closely with OVA departments to ensure all operational requirements are met.
- Manage relationships with host venues, suppliers, contractors, and service providers.
- Identify and resolve operational challenges before and during events.
Stakeholder & Volunteer Coordination
- Serve as a key contact for host clubs, venues, officials, volunteers, and event partners.
- Assist with recruiting, coordinating, and supporting event volunteers.
- Maintain clear and timely communication with clubs and event stakeholders.
Administration & Budget Support
- Assist in developing and monitoring event budgets.
- Process purchase orders, invoices, and event-related expenses.
- Maintain event documentation, operational manuals, and post-event reports.
- Evaluate events and recommend improvements for future delivery.
- Support the Youth Competitions and Athlete Development team
Communications & Member Experience
- Coordinate event communications with participants, clubs, vendors, and partners.
- Work with the communications team to prepare event information, schedules, guides, and signage.
- Support a positive event experience for participants and spectators.
Inventory & Equipment Management
- Manage the inventory of OVA-branded merchandise, event supplies, signage, and equipment.
- Coordinate merchandise ordering, storage, inventory tracking, and distribution for events.
- Monitor inventory levels and recommend replenishment to ensure adequate stock for tournaments and promotional activities.
- Maintain accurate inventory records and support annual inventory reconciliation.
Other Duties
- Support organizational initiatives and special projects assigned.
- Support additional OVA events and member engagement activities throughout the year.
- Perform other related duties as required to support the success of the Association.
- Attend staff, committee, and board meetings as required.
- Act as an Ambassador for the OVA
- Other duties as assigned
REQUIREMENTS
- Postsecondary education in Sport Management, Event Management, Recreation, or a related field, or an equivalent combination of education and experience.
- Experience coordinating sporting events, tournaments, conferences, or large-scale events is considered an asset.
- Exceptional organizational and project management skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Strong customer service and relationship management abilities.
- Proficiency with Microsoft Office Suite and experience using event registration or content management systems.
- Ability to work independently while contributing effectively as part of a team.
- Ability to work evenings and weekends and travel throughout Ontario during the indoor competition season.
- A valid Ontario driver’s licence and access to reliable transportation are considered assets.
- Valid Vulnerable Sector and Police Screening Check (can be obtained upon hiring)
