
About the Role

POSITION SUMMARY
The Administrator provides administrative, operational, and office coordination support to Sport Integrity Canada. The role is responsible for maintaining efficient office operations, supporting organizational activities, supporting meetings and events, managing inventory and supplies, and ensuring administrative systems and processes are effective and well maintained.
The Administrator serves as a resource for employees, vendors, and stakeholders by supporting day-to-day business operations, facilities management, records administration, and organizational initiatives.
DUTIES AND RESPONSIBILITIES
Office Administration and Facilities Coordination
- Ensure offices, meeting rooms, common areas, kitchen spaces, and storage areas remain clean, organized, safe, and professional.
- Conduct regular inspections of workspaces and common areas to identify housekeeping, maintenance, security, and safety concerns.
- Coordinate routine office maintenance requirements and building-related issues with the landlord and external service providers, escalating complex matters to the Senior Manager, Corporate Administration as required.
- Maintain office parking pass inventory.
- Assist with workspace set up, office reconfigurations, and storage organization as required.
Organizational Administration and Operations Support
- Maintain centralized electronic and physical filing systems in accordance with organizational procedures.
- Provide administrative support across the organization, including the preparation, coordination, and distribution of documents, reports, correspondence, and other materials as required.
- Prepare expense claims for the Executive Team.
- Organize all staff travel and coordination with travel agent.
Meeting, Event, and Hospitality Support
- Coordinate meeting logistics including room bookings, catering, hospitality services, equipment, and materials.
- Provide administrative support for meetings, including scheduling, agenda preparation, and document distribution as required.
- Support Board and committee meetings through administrative and logistical coordination.
- Assist with preparing meeting packages, resource kits, and supporting materials as needed.
- Draft meeting minutes and correspondence as required.
- Support corporate events, staff meetings, and organizational initiatives.
Inventory and Shipments
- Process incoming and outgoing mail and maintain mail-tracking records.
- Maintain inventory records and related documentation for office and program supplies, including materials stored off-site.
- Identify outdated or obsolete materials for disposal or archiving to Senior Manager, Corporate Administration.
- Maintain required documentation and electronic inventory records.
Communications and Correspondence Management
- Monitor and triage inquiries received through the organization’s general email inbox and forward them to the appropriate employee or team.
- Assist with the preparation, formatting, and distribution of correspondence and documents.
- Maintain organizational contact lists and distribution groups.
- Ensure correspondence and related records are filed and retained in accordance with organizational procedure.
General Responsibilities
- Comply with organizational policies, procedures, and quality standards, and support continuous improvement activities, documentation requirements, stakeholder feedback processes, and corrective actions as required.
- Other duties assigned by the Senior Manager, Corporate Administration and/or Director, Finance, Human Resources, Administration.
Qualifications and Competencies
- High school or college diploma or equivalent combination of education and experience in a relevant position.
- Three or more years of on-the-job experience and/or performing similar duties required, with knowledge of the Canadian sport community preferred.
- Strong communication skills in both English and French (verbal and written).
- Excellent interpersonal skills, ability to learn quickly and self-motivate while working independently and/or collaborating as part of a team.
- Excellent organizational skills, attention to detail and accuracy, ability to follow procedures, time management skills, ability to coordinate multiple priorities.
- Proficient in MS Word, Excel, PowerPoint, Outlook, the Internet, data entry, and word processing.
